TimeMoto helps De Metaalwinkel with time savings and convenience for employees

De Metaalwinkel is a Dutch company with over 50 years of experience in the sale of construction materials, metalworking, and product development. They faced a challenge that many companies will recognize: efficiently keeping track of working hours including overtime, as well as processing leave, sickness, and holidays.

De Metaalwinkel has three branches in the Netherlands: in Amsterdam, Utrecht, and Barendrecht. In addition, there is a sister company, Dutch Innovation Systems, which focuses on the international market as an inventor and manufacturer of Topclamp construction systems. Each location has a production hall, warehouse, and a sales/collection counter. Small offices are present in Amsterdam and Utrecht, but the head office is located in Barendrecht.

With these various locations, it was essential to find an efficient system that saved time and effort. Until 2021, much was still recorded on paper, but with the relocation of the head office from Rotterdam to Barendrecht, that changed, says Sander Maris, Operations Director at De Metaalwinkel. "With my experience as a planner in my previous job, I found that very unnecessary and a waste of time, because systems are already so advanced that this can be automated."

"We quickly noticed that this system could do much more than we initially thought"

Manually processing the Excel sheets that each branch submitted at the end of the month could take almost a whole day for a company of 25-30 employees. Therefore, TimeMoto was introduced in 2022. Initially, this was only in Barendrecht and since 2024 at all locations. "We quickly noticed that this system could do much more than we initially thought. An example is clocking in with the mobile app for our employees in Amsterdam and Utrecht. In Barendrecht, we use a terminal that works with an RFID badge."

De Metaalwinkel uses the planning function in TimeMoto Cloud, and employees register their working hours themselves. "Breaks are automatically accounted for, and we work with pre-set correction times and time slots for clocking in and out. Additionally, TimeMoto helps us keep track of holiday hours and public holidays."

The savings with TimeMoto are significant. "The work I normally spent on administration and research between different files and systems has now been reduced from 8 hours per month to a maximum of one hour. That alone saves about 3,500 euros per year in working time. That is including the subscription costs for TimeMoto Cloud. Additionally, the self-service for employees is very efficient. They can, for example, view their own hours and holiday balance without having to ask for it constantly. And because the system processes everything automatically, the chance of errors compared to the old system has become much smaller."

All in all, the operations director is very satisfied with the system. "The system is user-friendly and there is a good manual. So far, I have not needed any support, which is very nice." TimeMoto has helped De Metaalwinkel improve processes and save money, leaving more time for other things. "I would recommend it to other companies; it is a handy automation for any company with permanent employees."
