How to track time and attendance when your team has flexible schedules?
This is Simon Mehleer’s story. Mr. Mehleer is one of our TimeMoto clients, and he works as a deputy chief at Metallwerkstatt Torschl GMbH & Co. KG in Germany. With his manager, he leads a team of 30. His team has flexible but hectic schedules, and he is managing to make it all work smoothly with the help of TimeMoto’s time tracking and holiday management features. Before we go into more detail on how he managed to turn it around with TimeMoto, let’s have him tell you a little bit about the business.
"Metallwerkstatt Torschl GMbH & Co. KG is a family-run German company with 30 employees. We specialize in custom metal projects and cover the complete metal construction spectrum. Everything from outdoor metal projects to balconies, staircases, and locksmith work. Our focus is specialized one-off productions. In terms of daily work, I supervise the construction sites and personnel. For the construction site, this involves purchasing the materials, tools, and organize the vehicles and supervising the fleet. I also manage the personnel duties, which means, handling the hiring, firing, wage increases, and absences. Luckily, I can divide these tasks equally with my manager, I handle the day-to-day and he handles the long-term major projects. And even though we are two, with 30 employees, it takes an enormous amount of time to organize it all."

“Before we implemented TimeMoto we were tracking everything by hand and transferring it to Excel to manage the overview. With 30 employees in the company, this takes an enormous amount of time. Since this is a task we manage at the end of the month, we would need to collate for each employee: the hours worked, the holiday absences and the sick leave. It took us about 3 days to get everything ready. Now with TimeMoto, we are done in 3 hours.”

“We opted for the TimeMoto TM-616 Time Clock, with the RFID badges for all the employees. It hangs in our front office by the entrance. This way employees can easily punch in at the start of work, end of work or for longer breaks. Which is particularly handy for the flexible workers, who come in at different hours and regularly change their break hours. The hardest part was getting the employees in the habit of punching in and out at first so that I didn’t have to deal with all the forgotten stamps, this has all to do with educating employees though. Now it is a habit for everyone to do it first thing when they walk in the door. We even made it possible for the employees who work from their home office to punch in via the mobile app from TimeMoto.”
“When it comes to managing the schedules. I created various duty schedules in TimeMoto Cloud, as we have many part-time employees who only work 5-6 hours a day, this way I can just drop the schedules in there and they’ll see it right away. I also take care of the complete overtime management, and the vacation management in the TimeMoto Cloud and I set it up so that every employee can send me their vacation requests, from their private email address. Because of TimeMoto Cloud, I know exactly how many people are currently on vacation. How many requests are already approved, and who is in where. It just simplifies it all. It always runs smoothly and works flawlessly, and bottom line is that we have saved a lot of time.”
